Getting started with Registration Links

Modified on Wed, 13 Aug at 4:29 PM

is and other articles regarding links and screens within SystmOne may refer to "HA," meaning Health Authority. This was the historic, generic term for the now-centralised organisation known as PCSE (Primary Care Support England). Information is correct as of November 2023.

What are Registration Links?

Registration Links, or simply "Links," are messages that pass between the GP system and central NHS systems to ensure that patient information is consistent across both.

How Do Links Work?

  • Updating Patient Information:
If you change a patient’s address in your GP system (SystmOne/EMIS Web), a Links message is sent to the central HA system so it is updated automatically. Updates can also flow the other way - from the central system to the surgery.

  • Patient Registration:
When a patient applies to register with your practice, a Links message is sent to the central system. If the application is valid and details are correct:

    1. The central system marks the patient as registered with your practice.

    2. You receive confirmation that the patient is now officially a GMS patient (until then listed as "Applied").

    3. A Links message is sent to the patient’s previous surgery, notifying them that the patient has been deducted (removed).

Important Note

The central system is the authoritative source for registration and global sum payment purposes. If your GP system shows a patient as registered and the central system does not, they are not considered your patient, and you will not receive payment for them in global sum calculations.

How to process Links

  1. Daily tasks
  2. Rejections
  3. FP69 Administration (Suggested monthly)
  4. Close of Quarter

Summary of each Links screen

EDI Administration

This is the old Links screen. Ignore it. We do not encourage its use and advise you to use the normal Links screen.

*New* Links

Main links processing screen, needs to be maintained daily.
Note: TPP may at some point choose to drop the *New* prefix, the screen is in fact many years old.

Search Links

Used to find or troubleshoot links that have already been actioned and retry/resend when advised by the HA.

Medical Records In/Out

Lists the Lloyd George notes that need to be sent back to the HA and new Lloyd George notes that are on their way to the surgery as well as whether the records needs to be printed.

FP69 Administration

Lists patients that will automatically be deducted by the HA on the date stated. Review this screen at regular intervals and try to make contact with patients to confirm current address.

Outstanding Deduction Requests

Patients listed are those where the surgery have requested a deduction but are still registered (normally there for approximately 30 days). Note: That the 'Cancel' option on this screen only functions if used very shortly after submitting a deduction request. If a request is submitted and later determined it's in error, you must be raise this directly with the HA.
