Password renewal/reauthenticating (Application accounts)

Modified on Mon, 8 Apr at 12:29 PM

Remember: You must monitor your application mailbox content. See details and tips for this (such as how to automatically delete old SMS receipts) here: Application/SMS/DXS mailbox configuration.

NHSmail account passwords expire every 12 months. You will receive emails prompting you to update the password in the weeks prior to this.

Outgoing mail

For emails sent from SystmOne. At time of writing, this includes SMS.

  1. Having received an email advising it is time to reset the password; sign into the application account directly at www.nhs.net (rather than accessing with your normal delegate rights).
  2. Update the password (Remember: Application account passwords must be 20 characters)
  3. Re-enter the password in SystmOne: Setup > Users & Policy > Organisation Preferences > Messaging > Email: Outgoing Mail
Recommended: Don't click Ok to save Org Prefs, yet, use 'Send Test Email' to confirm you have entered this correctly.

Incoming mail

Do you use NHSmail on the Acquired Documents screen? (Sometimes called "scanning screen")

No

You do not need to authenticate for Incoming mail. Set the service to None.

Yes

You'll need to authenticate. The Sign In button will open your default browser to authenticate the application account.

Ensure you sign out of other NHSmail accounts in the browser (such as your own) before clicking Sign In in SystmOne.
