SystmOne Address Book ("CCG Contacts")

Note: This article continues to refer to "CCG" as this is how the screen is labelled in SystmOne.


Alert the ICB Clinical System Team to entries with incorrect details or notable missing organisations/departments that be added centrally for the benefit of all surgeries in the region. This supports:
  1. Automatic Sender/Recipient suggestions in Acquired Documents (scanning/import)
  2. Staff sending letters/referrals

 

Entries that will only be used by a handful of surgeries should be managed in local Organisation Contacts.


Request an Address Book update/change


Have duplicate entries when using 'Search ' or processing letters?

If there are two or more entries within Organisation Contacts, delete entries until there is only one (right-click and Delete).

If there is an entry in Organisation Contacts and another CCG Contacts, we recommend deleting the entry in Organisation Contacts.

'Organisation Contacts' has hundreds of out of date entries!

Management of 'Organisation Contacts' is the responsibility of each service. If you have large numbers of items you no longer need either:

1) Delete items you don't need.

2) [Nuclear option] Note the few entries you wish to keep. Wipe the entire list and manually re-add the few you want to keep. Before doing so ensure all all teams that use the Address Book have been consulted (especially those that write letters and process incoming letters on 'Acquired Documents'). This is completed by importing a replacement list. The Clinical Systems team can supply an Address Book file to import. It is strongly recommend that surgeries first Export and backup their Organisation Contacts first; so this can be reverted if you experience unexpected issues. e.g. Staff reliant on certain entries.
