New starter learning will be split into two parts:
- Part 1: eLearning
- Part 2: One-on-one video call
Requests should be submitted by a individual responsible for the new stater (e.g. team lead/line manager/training coordinator). Please ensure you provide all the information requested on the ticket form.
Part 1: eLearning at the 'TPP Learning Academy'
Provided by SystmOne supplier: TPP (The Phoenix Partnership)
To access the 'TPP Learning Academy', your line manager should submit a ticket including your email address.
Complete these items in time allocated to you by your employer; you do not need access to a live SystmOne unit at this stage. This could be integrated into the time services allocate to mandatory training (e.g. Manual handling, safeguarding etc).
⌚ If you find any eLearning videos too fast or too slow, use the Settings gear (⚙️) on a video to change the speed.
SystmOne fundamentals (~90 minutes)
- Logging On & Off SystmOne (~5 minutes)
Includes: Quick Lock | New User | Closing SystmOne correctly | Multiple clients
⚠️ You should only login to SystmOne without a smartcard when it is necessary. e.g. No other option as smartcards not working for any staff. Some functions will not be available to you (such as signing prescriptions) and others could lead to significant risks for patients and increased workload for you, your colleagues, or other care services. - Localisation (~5 minutes)
Includes: Explanation of custom Menu, Tree & Toolbars | Search Features - General Navigation (~10 minutes)
Includes: Title bar (Organisation and screen) | Menu | Toolbars | Configure Home Screen | To Do | Counters | Patient search & Notices | Search Features (reminder) - Patient Record Navigation (~30 minutes)
Includes: Review of Menu/Toolbar/Home buttons | To Do | Quick Patient Search | Demographics | Patient Home | Multiple records | Save & Discard | Problems/Summary | Tabbed Journal basics | Third Party Patient Record | Safeguarding Information | Expand/Collapse tree folders | Right-clicking items for more actions | Viewing letters & referrals | Online Services | Vaccinations | Groups & Relationships | Pathology & Radiology | Administrative tree | Record contact details | Care History | Appointment attendance | Deleted items | Record Restrictions - Viewing Recently Retrieved Patients (~2 minutes)
Includes: Patient menu | Quick Patient Search history - Patient Locator ("Advanced Search" ~3 minutes)
Includes: Audit Trail
Typically, you will use 'Quick Patient Search'. 'Patient Locator' is more powerful and flexible when required. e.g. Find a patient by just forename or telephone number - Panic Button (~2 minutes)
Includes: Deactivate the panic button
Services use the panic button for varied reasons, ask your line manager to direct you to your organisation policy - Instant Messaging & Notifications (~8 minutes)
Includes: Sending, bulk sending, receiving, replying and postponing IMs | Sending, bulk sending, receiving and replying Notifications - Using Tasks (~20 minutes)
Includes: Administration and patient related tasks, creating, scheduling, updating and completing tasks, using the task screen and accessing tasks within the patient record
Part 2: One-on-One training using your SystmOne unit
On completion of the eLearning delegates will be eligible to complete their one-to-one Teams video call. Delegates will share their screen and be led through functions
In order to carry out this training please make sure the following are available:
- Access to a quiet space/room with PC and mic/speaker (essential) and webcam (optional)
- Have a valid smartcard
- Have signed into S1 previous to training session
- Have User Preferences pre-configured in line with surgery policy
If any of these essentials are not provided to enable the session to start promptly or Part 1 has not been successfully completed the session will need to be rescheduled.
Part 2 sessions are provided from the options below dependent on the delegates job role.

A selection of Ardens Templates will be shown depending on staff job role. All delegates will be given the opportunity to ask any questions they may have regarding their roles using SystmOne.
