Configured Lists

From SystmOne Help [F1]: "On SystmOne, some of the sets of options users can select from when using a drop‑down list are built in to the system and cannot be added to or amended. Other sets of options, however, can be customised to meet the needs of individual organisations. The drop‑down lists that contain these sets of options are called configured lists."

What sorts of things are Configured Lists used for?

Some common Configured Lists in surgeries are:

  1. Appointment Invitation Types - e.g. Blood test / Influenza Vaccination
    Selected when individually or bulk inviting patients to book appointments via Communications Annexe
  2. Letter Types - e.g. DNA Letter / Discharge Letter / Results / Clinic Letter
    Selected when sending/receiving correspondence.
  3. Methods e.g. Face to face / Telephone
    Selected when setting/saving 'Event Details'

Who controls which list items staff can user?

Your organisation System Administrators are responsible for:

  1. Setting which items in a list appear in the default list available to staff i.e. To quickly select from drop-down lists
  2. Determining the order of the default list items (to best support staff) e.g. Most commonly needed at the top
  3. Setting if staff can use list items that are outside the default list set

How are new list items created?

Organisation Group owners can publish new items and delete previously published items.

Suggest a new Configured List item for all SNEE surgeries 


Suggest an item for use across your PCN

If list items are for a piece of work to be standardised across your PCN (and not other surgeries), contact your PCN Organisation Group owner to manage these for your surgeries.

Publish an item specifically for your surgery
We recommend list items are created across operational areas (e.g. SNEE or PCN level) to support standardised working. It may cause confusion where there is duplication between an individual service, PCN and wider ICB groups and fragment how work is performed at each service. If your organisation elects to create an Organisation Group that includes only your surgery; we recommend this is used only to create list items that do not impact the patient record. e.g. Appointment Invitation Types
